Digital signage improves internal communication

Getting information to employees quickly and efficiently can be a big challenge. The San Bernardino County Department of Child Protective Services has used digital dashboards to facilitate this. Many managers have the unfortunate experience of sending an important email that a significant portion of the staff doesn’t even read. It is extremely challenging to ensure effective internal communication for employees, especially when an organization has multiple branches.

For example, the San Bernardino County Department of Child Protective Services has had difficulty effectively providing information to staff.
“The department needed a means to disseminate a variety of informational content to staff in multiple physical locations in a way that was easy to manage and easy for staff to record,” Timoney Stewart, a systems analyst for the Department of Child Welfare, said in an email message. “When this information was emailed, it often went unread and staff were less aware of what was happening in the department.”

In an effort to solve this problem, the department began relying on digital content projection, specifically the cloud-based Carousel Digital Signage solution. Digital signage reduces email and Sharepoint fatigue by simplifying the presentation, resulting in employees expending less effort to receive the information,” said Stewart. “With bulletin boards that are thoughtfully placed around the office space, employees are more likely to read the information on them.”

“The department has used the platform to keep employees informed of current events, programs and business information” .

“Being a cloud-based platform, this solution provides more seamless updates and users can access the network from any location or device,” said Amber Ward, creative director at Carousel, in a release.
In addition to this core functionality, the solution is also equipped with user management tools so that the administrator has control over what content is posted and when.

“We believe the more people can contribute content to the digital system, the better,” Ward said. “That’s why user management is so important. Just set up a user role and define what permissions that user should have. The approval process in Carousel will hold back user-generated content until an administrator approves it, so nothing unexpected gets out.”To successfully use a digital employee information system, Stewart recommends that companies identify a set of needs that it should meet. In addition, he said you should project content that your employees will want to view, and also carefully consider the placement of dashboards.

“Make sure you have a well thought out placement of the information board. Prefer locations with heavy traffic and places where employees stay for long periods of time, such as break rooms or large open office spaces,” Stewart said.
Ward recommends that organizations choose one digital signage platform for all departments to use and that everyone has “rights and control over the content.”

55For example, in the case of government, he advises that “courts, offices or tourist parts of the city should be managed together to ensure seamless communication in all areas.”

For digital content transfer to be effective, organisations need to use it primarily for the needs of employees, not just for the actual sending of information.

“Users can easily and clearly view time information, safety information or top employee achievements to keep employees and customers in the loop. Such a solution can also create a sense of community as it brings people together and keeps them socially connected,” .
